We implement structure!

We offer an extensive range of services to ensure that each Estate Management agreement meets the needs of our unique clients. No Estate is the same and we pride ourselves on offering customized and highly specialised support, reinforced through years of experience and attention to detail. We want the best for the Estate even after we may no longer be under their service.

DEDICATED SITE INSPECTION AND REPORTING

  • Site Inspection - Weekly site visits consisting of a general inspection of the common property & meeting with contractors when required.
  • Facilitate and report to the Trustees on any garden and maintenance queries/problems that may arise or that will be required.
  • Obtain quotations for any work or equipment required on the common property and ensure that work approved is carried out according to standard.
  • Arranging payments for contractor Invoices on successful completion of the projects and once approved for payment by the Trustees.
  • Regular liaison with the Body Corporate’s preferred service providers to ensure that work at hand is carried out effectively.
  • Purchasing and delivery of consumables such as pool chemicals, globes and other cleaning materials, if required (cost of consumables will be for the Body Corporate).

RESIDENT ADMINISTRATION AND CONDUCT MANAGEMENT

  • Resident records maintainance and database updates of residents’ details which include; resident contact details, domestic worker applications (issuing of domestic ID cards), pet applications and letters of complaint issued etc. ​
  • We deal with complaints and faciltate letters to residents and owners on behalf of the Body corporate.
  • We are familiar with the following resident contact systems; MIRCOM, MIRCELL, BPL, PAXTON, ARKE, PROPMAN & CLICK ON.

TRUSTEE SECRETARIAL SERVICES

  • Attend evening Trustee meetings every quarter / more frequent meetings if during office hours in the week.
  • Preparing and distributing the Agenda for the Trustee meetings.
  • Keeping minutes of the decisions taken at the Trustee meetings.
  • The distribution of notes, reports, quotes or any documents required by the Trustees.
  • Attending the Annual General Meeting and any Special General Meeting during the course of the year.
  • Provide advice to Trustees on Sectional Title Rules & Regulations, future maintenance requirements required for long term budgeting purposes etc.
  • Depositing of any clubhouse rental, laundry funds etc. on a monthly basis.​

COMPREHENSIVE RESIDENT AND OWNER WELCOME PACKS

All new residents are issued with tailored welcome packs that include;
  •  Welcome letter,
  • Conduct rules
  • Latest newsletter
  • Important contact numbers
  • Pet application form
  • Domestic worker registration form.

A welcome pack ensures a smooth transition, for residents, into the Estate.

SECURITY IMPLEMENTATION AND SUPPORT

  • We liaise with the security provider on behalf of the Trustees on the enforcement of conduct rules and security concerns etc.
  • We provide advice to Trustees on additional security measures/improvements if required.

COMMUNICATION

  • RESIDENT HELPLINE, DEDICATED E-MAIL AND AFTER HOUR EMERGENCY SERVICE
We provide; Phone, Fax or E-mail assist to residents and owners with day to day queries in respect of maintenance problems or general complaints.

  • AFTER HOUR EMERGENCY SERVICE
An after hour emergency number is made available for residents to contact the Estate Manager should an emergency situation arise such as burst geysers, power and water interruptions, electric fence activations or security issues.

  • NEWSLETTERS, NOTICES AND SMS
Communication is vital to the success of any Estate. We prepare newsletters, general notices, sms notification on behalf of the client when required.
